position summary

The Receptionist serves as the first point of contact for those engaging with CCEF’s counseling ministry. This role provides a warm, professional, and hospitable presence while ensuring the smooth operation of daily counseling office functions. The Receptionist supports counselors, counselees, and the Counseling Manager by managing schedules, financial processes, and communications with accuracy and care.

responsibilities

  • Welcome visitors, answer incoming calls, and respond promptly to emails in the reception inbox
  • Assist with scheduling and confirming counseling appointments weekly
  • Ensure timely and thoughtful communication with counselors and counselees
  • Maintain and update the Receptionist Manual to reflect current procedures
  • Prepare and distribute monthly statements; run financial and data reports as needed
  • Track and manage:
    • Counseling invoices and payments
    • Consultation group attendance and invoicing
    • Counselor clearances and insurance records

  • Process financial aid requests, including extenuating circumstances, under the direction of the Counseling Manager or Counseling Administrator
  • Notify counselees of expiring financial aid and manage renewals
  • Support the counseling team in cultivating an orderly, responsive, and caring administrative environment

qualifications

  • Agreement with and support of CCEF’s mission and core beliefs; familiarity with CCEF’s materials preferred
  • Demonstrated ability to handle sensitive information with discretion, tact, and confidentiality
  • Strong written and verbal communication skills
  • Technological proficiency, including Google Workspace and Microsoft Word and Excel; experience with phone systems preferred
  • Prior administrative or front desk experience required
  • A relational and team-oriented approach, with a willingness to receive feedback and grow

Ensure our team is cared for with accuracy, integrity, and excellence in payroll, benefits, and HR compliance. Be a bridge between systems and people, handling details while offering real-time support with grace and professionalism. If you are highly organized, attentive to detail, and motivated by serving others behind the scenes, this may be the role for you.

general responsibilities

  • Own and process accurate bimonthly payroll via ADP
  • Review and reconcile timekeeping data
  • Handle wage adjustments, special payments, and audits
  • Guide new hires and current employees through benefits enrollment, renewals, and life event changes (health, dental, vision, retirement)
  • Serve as the liaison with our benefits broker and vendors
  • Support employees during key life moments (e.g., parental leave, disability claims)
  • Ensure alignment with federal, state, and local employment laws (e.g., EEOC, FLSA, ACA)
  • Conduct annual safety and compliance training
  • Track employee documentation and oversee recordkeeping compliance
  • Partner with leadership on benefit plan analysis and payroll forecasting
  • Track and monitor HR and benefits-related metrics
  • Maintain and improve internal HR systems and documentation
  • Assist the Executive Director with HR projects and organizational planning as needed

qualifications

  • Agreement and enthusiastic support of CCEF’s mission and core beliefs; experience with CCEF’s materials
  • 3–7+ years of experience in payroll, benefits administration, or HR generalist work
  • Strong familiarity with ADP or similar payroll platforms
  • Working knowledge of employment laws and compliance standards
  • High level of integrity, confidentiality, and attention to detail
  • Bachelor's degree required (HR, business, or related field preferred)
